To Exit or Not to Exit…that is the Question!

Posted by

Summertime brings sunshine, trips to the pool, and margaritas!  It also brings the end of the school year which means student graduate, get promoted, or get retained.

What does this mean for student enrollment and data collection in SCRIBE?

We recommend that all students are exited at the end of each school year using an appropriate exit code, for example promoted, retained, or graduated.  Keep in mind that you will want to wait until the end of the APR reporting period to exit students.  This is particularly true if you are delivering summer services–more about summer services in a minute.  Once the next APR reporting period has opened up, you can roll over the students from the previous school year.  Or you can start fresh with a current student enrollment file from your GEAR UP sites.

In order to enter participation for summer services, students must be enrolled at the appropriate school for the appropriate APR reporting period.  For example, a school that reports on services from July 1 to June 30, would report services delivered after June 30th with the next school year.  This means the school years and students must exist in SCRIBE for the next school year to report participation.

If you have questions on entering summer services or exiting students at the end of the school year, please reach out to the Xcalibur team.  We will walk you through the process to ensure the integrity of your GEAR UP data!
